Introduction:
Founded in 1998, OneSky is a U.S.-based nonprofit organization dedicated to early childhood care and education across Asia. OneSky’s mission is to provide nurturing care and effective education for vulnerable children through community training programs for caregivers. Over the past 25 years, OneSky has partnered with governments and local authorities to train 75,489 caregivers, improving the lives of 286,545 at-risk children in Vietnam, China, Mongolia, and Hong Kong. In Vietnam, OneSky collaborated with the Department of Education and Training of Da Nang in 2017 to establish the OneSky Early Learning Center – Da Nang in Hoa Khanh Industrial Park. As a model center following international standards, it provides nurturing care and education for 262 children aged 6 months to 6 years, who are children of migrant factory workers with low income and no stable housing.
Since 2018, OneSky has implemented the Training Program for Independent Childcare Groups and Centers. This 11-month program consists of 21 in-person lessons, on-site coaching visits to support practical application, and an online learning platform called "1GiaDinhLon" (One Big Family) for caregivers.
To date, OneSky has trained over 1,500 independent preschools, creating a safe and engaging learning environment that fosters cognitive, emotional, and social development for more than 42,000 young children living in industrial zones across Da Nang, Quang Nam, Hai Duong, and Quang Ngai.
Challenges
Before adopting a digital training management system, OneSky faced several limitations in organizing and tracking its nationwide preschool teacher training program. The key challenges included:
1. Fragmented and Manual Data Management
· Trainee and course information was stored on paper and Excel files, making it prone to loss and difficult to update in real time.
· No mechanism allowed trainees to update their profiles or track their training progress independently.
· Generating training reports was time-consuming and prone to errors.
2. Difficulty in Evaluating Post-Training Implementation
· Assessing schools after training relied primarily on in-person visits, lacking a structured data collection and analysis system.
· No centralized platform existed to gather feedback from teachers and schools, making it challenging to measure program impact.
3. Lack of a Unified Platform for Coordination with the Ministry & Departments of Education
· No centralized system to track the number of trained teachers and implementation progress across different provinces.
· Reporting progress and evaluating program effectiveness were difficult due to inconsistent and scattered data.
4. Inefficiencies in Course Organization and Administration
· Scheduling training sessions, managing trainees, trainers, and attendance tracking were all done manually, making scaling up challenging.
· No system-supported forms for evaluations or feedback collection, limiting the ability to monitor training quality.
· Lack of flexible reporting tools to track learning progress and plan future training sessions efficiently.
5. Limited Capacity for Program Expansion
· The existing management model could not effectively support program expansion across multiple provinces due to organizational and monitoring constraints.
· No digital solution was in place to standardize training resources and ensure consistent teaching quality on a larger scale.
6. No Secure System for Access Control and Data Management
· No clear role-based access control, making it difficult to manage data security and privacy.
· No login/logout system with secure authentication, nor a data consent feature to comply with user information protection standards.
Implementing a new training management system will help OneSky overcome these challenges by digitizing the entire training process—from trainee and trainer management to post-training evaluation at schools. The system will also support exporting training schedules, integrating Zalo for seamless communication, managing forms, handling bulk data imports, and ensuring high security standards. These improvements will enhance operational efficiency and enable sustainable program expansion.
