About the Client

Founded in 1998, OneSky is a US-based nonprofit for early childhood care and education across Asia, training caregivers through community programs with governments and local authorities. It reports having trained 75,489 caregivers and reached 286,545 at-risk children in Vietnam, China, Mongolia and Hong Kong. In Vietnam, its 11-month training program for independent childcare groups and centers has, since 2018, trained more than 1,500 independent preschools serving over 42,000 young children in industrial zones in Da Nang, Quang Nam, Hai Duong and Quang Ngai.

The Challenge

Training Records on Paper and in Excel

Trainee and course records lived on paper and in Excel, so they were easy to lose, hard to keep up to date and slow to turn into reports.

Manual Scheduling, Attendance and Follow-Up

Sessions, trainers and attendance were managed by hand, and schools were assessed after training mainly through in-person visits, with no structured way to collect feedback.

No Clear View Across Provinces

There was no central record of trained teachers and progress by province for reporting to education authorities, and no role-based access or data consent to protect personal data.

Why Odoo & Trobz

Trobz built the system on Odoo, using its Contacts, Calendar and Survey apps and adding a custom Training Management app. It follows how the program runs, from programs, cohorts and classes to sessions, attendance, visits to childcare centers and surveys, in both Vietnamese and English.

What We Built

Programs, cohorts and classes, approved before use
Session schedules generated from weekly timetables, skipping public holidays
Attendance sheets and childcare center visits created automatically, with photo check-in
Surveys sent automatically at set points in the program, with scoring and anonymous feedback
Role-based access and a data consent form at login
Dashboards for trainees, children reached, attendance, graduation rates and knowledge scores before and after training

Results

The system went live in July 2026, after more than 95 man-days of work.
OneSky can follow its program from class planning to post-training evaluation in one system, with dashboards by period and province.
