About the Client

KinderWorld International Group has its roots in Singapore in 1986 and provides education in Vietnam from pre-nursery to high school. It opened KinderWorld International Kindergarten (KIK) centers in Hanoi and Ho Chi Minh City in 2000 and Singapore International School (SIS) primary schools in both cities in 2004, and also operates Singapore Vietnam International School (SVIS). In 2020, the group had 4,000 students across 15 education centers.

The Challenge

Scattered Data and No Suitable Software

KinderWorld managed students, teachers and school operations with Excel, email and several standalone internal tools, which led to scattered data, manual processing, frequent errors and poor coordination between academics, HR and operations. The international school management products it tested lacked flexibility and did not integrate well with internal systems, and local platforms could not yet handle a network of this size.

Transport and Teaching Were Hard to Coordinate

Thousands of students use school transport every day, and scheduling was often inaccurate. Staff had no real-time tracking tools, parents could not see transport status, teacher assignments were inefficient and student progress tracking was delayed.

Manual HR and Finance Processes

Attendance, leave and payroll were handled manually, overtime approvals were not automated, and financial reporting was slow, which weakened transparency and cost control.

No Shared Platform for Parents and Schools

There was no mobile app for parents to follow their child's schedule, grades or transport, teachers lacked an efficient communication tool, and paying tuition was cumbersome for parents.

Why Odoo & Trobz

KinderWorld needed one school management system for its operations, learning and communication between schools, parents and students. Trobz built it on Odoo in four phases: school management for transport and teaching, then HR, then CRM and procurement, and finally further school management work with a mobile app for parents and apps for school buses.

What We Built

The full student lifecycle, from enrollment to graduation or leaving

Attendance, exams and test results
Registration for services such as bus, lunch, extracurricular activities and insurance
HR management, CRM and procurement
Integration with the Fast accounting system to manage payments
A mobile app for parents and apps for school buses

Results

The system went live in January 2014.
It was extended over four phases, from school management to HR, CRM and procurement, and mobile apps for parents and buses.
More than 1,000 people use it, across a network that had 4,000 students and 15 education centers in 2020.
