About the Client
UMA (now BAYA) is a furniture and home decor retailer in Vietnam, founded in 2006 by Ulli, My Lan and August, whose initials form the name UMA. It sells living room, dining room and bedroom furniture, from sofas and dining tables to wardrobes, along with decor accessories such as lamps, rugs and wall art. The company grew quickly, and the systems behind its stores had to keep pace. In June 2019, after more than a decade of retail expansion, with Odoo supporting that growth from 2012, UMA rebranded as BAYA (baya.vn) to mark a new chapter in product design and retail growth in Vietnam.
The Challenge
A POS System That Could Not Keep Up With Growth
UMA put a point-of-sale system in place soon after it was founded. As the company grew, the system showed its limits: it could not be customized or scaled, which made online sales, product management, promotions and loyalty programs hard to run.
No Visibility Into Changes to the System
When problems came up, the software provider made fixes and updates on request, but UMA could not see or control what changed. With no record of past modifications, the team could not track adjustments or learn from earlier issues to stop them from recurring.
Losing Control of the Core Platform
Over time the system became increasingly chaotic. Operations grew inconsistent, and UMA no longer had control over the platform its business depended on.
Why Odoo & Trobz
Through an introduction from a French friend, UMA co-founder Ulli met Trobz, and the two companies soon began working together. The Odoo project was split into four phases, starting with the areas where the old system fell short: product management, online sales and the point of sale.
What We Built
- Phase 1: product management, online sales integration and a replacement for the outdated POS system
- Phase 2: integration with the e-commerce website and supply chain improvements covering purchasing, invoicing and payments
- Phase 3: HR for employees, contracts and timesheets, with fingerprint attendance integration
- Phase 4: a revamped e-commerce website on Magento, fully integrated with Odoo
- A custom promotion scheme and loyalty program
- A replenishment algorithm to optimize the supply chain
- Extensive customization and fine-tuning of the native Odoo modules
Results
- Odoo went live in July 2012, replacing the old point-of-sale system.
- In 2012, UMA ran 10 stores nationwide and one online shop, with 130 users, 6,000 SKUs and up to 100,000 items sold a month.
- Over five years and more than 1,500 project days, the platform was extended to e-commerce, purchasing, invoicing, payments and HR, and the number of users passed 150.
